Changing Your Authorized Official

The Authorized Official is the person who has legal authority to accept grant funds on behalf of your organization. Depending on the organization, this may be the executive director, president, chief of police, chief executive officer (CEO), mayor, town administrator, county executive, or another authorized leader.

The Governor's Office of Crime Prevention and Policy must have a signed letter from the Authorized Official on file for every organization that applies for funding.

If your organization's Authorized Official has changed, submit the information and documentation listed below to update your Grants Management System (GMS) records.

Required Document

Letter on Official Organization Letterhead

Submit a letter on your organization's official letterhead that includes all of the following information:

1. Authorized Official's Contact Information

Provide the required contact information for the new Authorized Official, including:

  • Full name
  • Job title
  • Organization name
  • Mailing address
  • Phone number
  • Email address
  • Any other information required on the GMS new user page

2. Statement of Authority

The new Authorized Official must include a statement confirming that they are authorized to accept grant funds on behalf of the organization.

The statement must include:

  • The Authorized Official's job title.
  • The date they assumed the role of Authorized Official.

3. Authorized Official's Signature

The new Authorized Official must sign the letter in blue ink.

Submit the Required Document

Scan the completed letter and save it as a PDF file. Email the PDF to [email protected].

After receiving the document, staff will review it for completeness and accuracy.

  • If the document meets all requirements, staff will update your organization's information in the Grants Management System (GMS).
  • If information is missing or needs to be corrected, staff will contact you with instructions on what is needed.
